Terms of Service

These Terms of Service (the "Terms") govern your access to and use of NorthStar Car Rentals' services, including online bookings, vehicle rentals, and related customer support across Canada. By making a reservation, using our website, or driving a vehicle rented from NorthStar Car Rentals, you agree to comply with these Terms and any local rental agreement provided at pickup. If you are entering these Terms on behalf of a company or organisation, you represent and warrant that you have the authority to bind that entity to these Terms.

Bookings, rates, and payments

All bookings are subject to availability and confirmation at the time of pickup. Rates displayed during booking include stated taxes and fees; optional services such as insurance, equipment add-ons, and delivery will be shown separately. Payment is required at the time and manner specified when booking; we accept major credit cards and authorised corporate billing for approved accounts. A valid credit card or deposit may be required as a security hold at pickup. You are responsible for reviewing the rental agreement at pickup and ensuring that the details, including vehicle category, fuel policy, and pickup/drop-off times, match your expectations. NorthStar reserves the right to refuse service if identity or payment verification fails, or if the primary driver does not meet local eligibility requirements such as minimum age or valid driving licence. For corporate accounts, billing terms will follow the agreed account schedule and documentation provided at onboarding.

Insurance, liability and responsibility

By renting a vehicle you acknowledge your responsibility to operate the vehicle safely and in compliance with applicable laws. NorthStar provides optional protection packages, including collision damage waiver and roadside assistance, which may reduce your financial responsibility in the event of covered damage; these are optional unless required for your booking. Without an accepted protection package, the renter may remain responsible for loss or damage to the vehicle, subject to the terms of the rental agreement. Insurance coverage and liability limits vary and depend on selected options and local regulations; review the protection details at booking and on the rental agreement. You must report any accident or incident to NorthStar and local authorities promptly. NorthStar is not liable for indirect or consequential losses arising from use of rented vehicles, and liability to customers is otherwise limited to the maximum extent permitted by law.

Cancellations, modifications and refunds

Cancellation and modification policies are specified at the time of booking and may vary by rate type and location. Where a free cancellation window applies, you may cancel without charge within that window. Changes made after the free cancellation period, no-shows, or early returns may be subject to fees outlined at booking. Refunds, when applicable, will be processed to the original payment method within a reasonable timeframe depending on the issuer. For corporate bookings, cancellations and refunds follow the corporate agreement terms. NorthStar reserves the right to cancel or modify bookings due to vehicle availability, force majeure events, or safety considerations; in such rare cases we will offer alternatives or refunds as appropriate and in accordance with applicable law.

Use restrictions and prohibited conduct

Vehicles must be used in accordance with the rental agreement and local laws. Prohibited conduct includes driving under the influence of alcohol or drugs, permitting unauthorised drivers, using the vehicle for illegal activities, towing without permission, or driving off-road where the vehicle is not designed for such use. You are responsible for fines, tolls, and violations incurred during the rental period unless otherwise agreed in writing. NorthStar may impose additional charges for excessive cleaning, damage caused by prohibited use, or recovery costs if the vehicle must be towed due to misuse. If prohibited conduct is suspected, NorthStar reserves the right to terminate the rental immediately and recover the vehicle, in which case no refund for unused rental time will be provided.

Privacy and data

Personal information collected during bookings and service delivery is processed according to our Privacy Policy available at /privacy/. We may use contact information to manage your booking, provide service notices, and for fraud prevention. For marketing communications you will be provided choices to opt out where required by law. By using our services you consent to the transfer and processing of your data as described in the Privacy Policy.

Governing law and dispute resolution

These Terms are governed by the laws of the province where the rental originates and by federal laws of Canada as applicable. If a dispute arises, we encourage you to contact our support and legal teams to seek resolution. Where mediation or formal legal action is necessary, disputes will be brought in the courts of the appropriate provincial jurisdiction unless otherwise required by law. Nothing in these Terms limits your rights under applicable consumer protection laws where those laws apply and cannot be waived.

Updates to Terms

NorthStar may update these Terms to reflect changes in operations, legal requirements, or service offerings. Material changes will be posted on this page and, when required, notified to customers with active reservations. Continued use of our services after changes constitutes acceptance of the revised Terms where permitted by law. If you do not agree with updated Terms, please contact us to discuss existing bookings.
